Job Description DIRECTORATE: Chief Executive DEPARTMENT: Partnership Services / Housing and Community Regeneration POST: Housing Group Support Officer GRADE OF POST: Grade 4 RESPONSIBLE TO: Senior Housing Solutions Advisor or Senior Rehousing Officer JOB PURPOSE: Provide day to day administration and clerical support to Housing Teams. This includes ensuring the proper execution of duties in connection with overall administration, including but not exclusively financial data entry, correspondence, record keeping, dealing with telephone enquiries and giving related advice and other similar office based activities. PRINCIPAL RESPONSIBILITIES AND ACTIVITIES: • Provide areas of administration across the range of Housing and Community Regeneration functions, providing general administrative support to managers and teams. • Assist in the review of administrative processes and procedures to ensure that they are customer focussed and efficient, to improve service delivery. • Liaise with partner organisations such as Registered Social Landlords, Support Providers, Police, and Probation for the purpose of verifying and maintaining service user records and information on various databases; and making arrangements for placements to appropriate interim accommodation for service users. • Liaise with internal partners within the Council such as Building Maintenance for the purpose of maintaining the Council’s homelessness unit, Sundry Debtors and Benefits for the purpose of maintaining service user records and information on various databases. • Provide administration of meetings by co-ordinating calendars, circulating documentation and taking and distributing meeting notes. • To provide COA reports, budget monitoring and reconciliation for internal audit purposes, and to provide general information from computerised systems as required. • To maintain and update computerised systems and electronic filing systems, and carry out data validation of these systems to ensure correct usage and accuracy. • Undertake specific activities under the direction and supervision of the relevant manager, and to carry out any other duties in accordance with the requirements of the section/directorate. • Provide additional service support during the absence of the Housing Solutions Support Officer. Person Specification Housing Group Support Officer The following attributes represent the range of skills, abilities and experiences etc. relevant to this position. Applicants are expected to meet the attributes that have been identified as essential (Yes) Attributes Requirements Essential Method of Evaluation/ Testing Qualifications, Education & Training • Educated to QCF (NVQ) Level 3 and/or an ability to demonstrate competence through experience. Yes Production of original Qualification Certificates and application form. Knowledge & Experience • Awareness of housing issues. Interview, application form, references and selection process. • Experience of working within an administrative and clerical environment. Yes • Experience of working with IT packages and financial systems, in particular of using Microsoft Office products Word and Excel. Yes • Understanding of Council administrative and financial systems. Skills and Personal Attributes • Commitment to team and partnership working with a range of other professionals and agencies.
